Run a Compliance report

In this article, we explain how to run a compliance report.

Get a clear snapshot of your team's training status in seconds and see which trainings are completed, still within the allowed time window, or overdue, and discover the overall completion percentage. You’ll immediately know where attention is needed and which areas are on track, without any clutter.

The report shows live training data which constantly updates as new courses are completed, records are added, or courses renew. You can’t view past moments, but when you download the report, it captures a snapshot of that exact time: completed, in-progress, overdue items, and overall completion percentage.

  1. Log in to the platform.

  2. Click Reports.

  3. Click ELFY Reports.

  4. Click Compliance Report.

  5. Select the report from the Reports drop-down filter.

  6. Make your selection from the other drop-down filters if required, and click Submit.

  7. The report will populate with the data relating to the filters you have selected.


Pin a column to freeze it

A column can be pinned to create a freeze pane by clicking the pin shape icon next to a column title. This allows you to scroll left and right without losing the data in your pinned column.


Interpreting Compliance report colours

The report provides an up-to-date overview of each learner’s training status. It includes both completed and outstanding training to give an accurate measure of compliance. Overdue training is highlighted intentionally and cannot be hidden, as it is essential to calculating the overall compliance percentage.

The percentage of completion is based on all required training, completed, overdue, and upcoming. You can filter the report to focus on specific statuses like overdue or new starters, but keep in mind that doing so will affect what compliance data you see, especially percentage figures.

Here’s what each colour means;

  • Green – The learner is up to date with their training. This includes eLearning, in-person sessions, or external completions.

  • Past Date – Shows when the training was completed. There’s no renewal set up for this course.

  • Future Date – The learner is due to refresh their training by this date.

  • Red – The training is overdue. The date shown is the latest deadline for completion.

  • Orange – The training is in the refresher period. It needs to be completed by the date shown.

  • Blue – The learner is marked as on Maternity (MAT) or Long-Term Sick (LTS) leave. They’re excluded from compliance percentages during this time.

  • Grey – The learner is in a Completion Period, a grace window to complete training without being marked non-compliant. This is set up in the column rules and usually starts from the learner’s first day on the job.


Download the report

  1. On the right, just above the report, click the three dots and three lines icon.

  2. Select the file type required. xlsx Excel is recommended.

  3. The report will be dated and time-stamped, and you can now save the file.
