Manage your organisation hierarchy

An underlying hierarchy structure determines the staff you see in your stats and reports. The hierarchy is like a family tree, usually with those at the top having the most oversight. As the levels in the hierarchy descend, those who manage certain areas or sites will have specific report access to see them.

Hierarchy terminology

The Organisation hierarchy is managed manually, which means that you get to place users and sites exactly where you need them. It will typically include those with roles in upper management, senior admin, and head office.

The site hierarchy uses preset rules to automatically place staff within sites and assign them to the correct managers at lower levels of the hierarchy. Refer to this help guide for information on managing your site hierarchy.

Common hierarchy terms

  • ​Parent: A user sat directly above another user in the hierarchy.

  • ​Child: A user sat directly below another user in the hierarchy.

  • ​Descendants: All users below another user in the hierarchy.


Manage your organisation hierarchy

⚠️Important: To amend your organisational hierarchy, you will need certain permissions. If you need them, please raise a new support case.

Follow the steps below to manage the Organisation hierarchy;

⚠️Warning: Any changes made to the organisation hierarchy will override a user's existing hierarchy placements.

  1. Sign in to the Admin Tool.

  2. Click Config, then click Hierarchy.

  3. Click Organisation.

  4. Click the expand icon next to each user until you find the user you want to change.

  5. Click the icon next to the user depending on which action you want to take. See below:

    • Add a child.

    • Remove a user. This can be actioned if the user has no descendants, or if the descendants are removed first.

    • You'll be given the option to replace this user with another user or replace the user's parent.

  6. Once your changes have been made, click Organisation Rebuild.

📌Note: Please allow up to 1 hour for changes to be reflected in the system and reports.
