Our events system facilitates real-world training sessions by providing a platform to organise and manage face-to-face and online training sessions. The system allows organisers to create and schedule training sessions and easily manage registrations from participants.
Once events are attended, a digital record is created and added to the learner's training timeline. The training record will also reflect on any report columns it's included in.
How it works
You can request a place for yourself, managers can book their staff, or an events administrator can book staff directly to an event. This help guide will take you through the different options.
Request a place
When you request an event place, it'll be sent to the line manager you entered in the form, who will get a message to approve it. Your booking request will show as pending approval until your manager approves it. Once approved, you'll get a message confirming the approval and booking.
Sign in to the platform.
Click Events.
On the calendar, find the event you'd like to request a place on, and click on it.
Click Request a Place.
Type in the name of your manager, then select them from a drop-down. You must be a descendant of the manager in the hierarchy for their name to appear.
Click Submit.
Approve or decline booking requests
Managers can approve or decline booking requests. The staff member will receive a message to advise if the request has been approved or declined.
Sign in to the platform.
Click Events.
Click Requests.
Find the request in the list and click Approve or Decline.
Book my staff
You can get staff booked onto an event if places are available. Once booked on, the user will be sent a message about their required attendance for the event.
Sign in to the platform.
Click Events.
On the calendar, find the event you'd like to request a place and click on it.
Click Book my Staff.
Type in the name of the user and select it from a drop-down. You must be above the user in the hierarchy for their name to appear.
Click Submit.
Add Attendees
Need to add someone to a training event? Whether it’s for an upcoming session or one that’s already happened, just follow these steps.
⚠️Important: You'll need access to the events editor cog icon to manage attendees on an event. If you require access, you'll need to request this in a new support case.
Future events
Once booked, the user will be sent a message about their required attendance for the upcoming event.
Sign in to the Platform.
Click Events.
Click the cog icon.
Click the event you want to manage the attendees on.
Click Add Attendees.
Enter the attendee's name.
Click Confirm.
Past events
Need to add someone to a session that’s already finished? Maybe they joined last minute or weren’t booked in. You can still record their attendance, just follow these steps:
From the main console training page, click Events.
Click the cog icon
Click on the event, then click Add Attendee.
Type in the name of the user and select it when it appears in the drop-down.
Click Confirm.
Next, click Outcome, and select Passed from the dropdown.
🤓Tip: A training record will then automatically be created by the system to reflect the event training on the learner's account. Reports will take 2 hours to update.
Cancel a booking
Once a booking is cancelled, a notification will be sent to the event organiser who'll remove you from the event.
Sign in to the Platform.
Click Events.
On the calendar, click on the event that you want to cancel.
Click Cancel event booking.
🤓Tip: If an event title is linked to a report column, it will show on the compliance report as Booked on when users are added to the event.
