Remove automatic course allocation rules

In this article, we explain how to stop courses being automatically allocated to users.

Courses can be automatically assigned to users through user groups. When you link a user group to a course, the system allocates the course to all members of that group. You can change or remove these allocations at any time.

To prevent a course from being automatically assigned to new users, you’ll need to update its allocation settings. You can stop the allocation, deactivate the associated user group if it's no longer needed, and choose whether to remove the course from existing user accounts.

⚠️Important: You'll need access to the Admin Tool and specific permissions. If you need access, you'll need to raise a case to request this.

Stop the course allocation

Prevent the course from being assigned to new users by unlinking the relevant user group.

  1. Log in to the Admin Tool.

  2. Click Config, then click Allocation.

  3. Click Courses.

  4. Click on the course.

  5. Identify the user group you need to unlink and select the bin icon to the right of it.

  6. Click OK.

Deactivate the user group

If the user group is no longer needed, you can deactivate it, just make sure it’s not in use elsewhere first.

  1. Click User groups.

  2. Find the user group and click on it to open.

  3. Click Applications to see if the user group is being used elsewhere. If no applications are using it, then you can deactivate the user group.

  4. Click the back arrow and locate the user group again. On the right, click the toggle icon to deactivate the user group.
